The Contract Specialist is responsible for the review of all required client contracts. He or she will work across functional areas and be a trusted partner to those teams. This role will also provide general executive assistance to our Chief Financial Officer.

Essential Responsibilities

Contract Specialist

  • Responsible for reviewing and making suggested revisions of contracts for research teams, including Confidentiality Agreements, Materials Transfer Agreements, Consulting Agreements, Master Services Agreements, and other business agreements
  • Serves as a liaison between internal business partners on contract-related inquiries and contracting processes involving external vendors and clients
  • Works in close collaboration with cross-functional teams and external vendors on contract maintenance, renewals, and terminations
  • Masters, administers, and seeks to improve the Company's contract management process including preparation, review, negotiation, retention, and filing of routine agreements and related documents
  • Ensures fully executed contracts are properly entered into the contracts management database and updates information, as required
  • Prepares summaries of key contracts for ongoing tracking of financial, reporting, insurance, and other obligations
  • Works closely with members of finance and other departments to help ensure compliance with cross-functional policies and procedures

Executive Assistant:

  • Manages calendars of select senior executives'requires interaction with internal and external clients and team members to coordinate a variety of meetings
  • Responsible for coordinating travel in a thorough and proactive manner, including, but not limited to: flights, car rental/car service, hotel, and restaurant reservations
  • Other customary administrative duties, as assigned

Additional Responsibilities

  • Complete special projects as requested, such as collaborating on department-wide or company-wide initiatives
  • Other duties as needed

Minimum Acceptable Qualifications

Education/Experience:

  • NC licensed attorney or bachelor's degree with commensurate experience
  • Not less than three (3) years' experience working in a legal, paralegal, or contract management function, preferably in a biotech, pharmaceutical, CRO/CMO, or service-based organization

 Skills:

  • Demonstrated experience managing and reviewing contracts
  • Broad knowledge of applicable contractual and legal concepts involved in the CRO industry
  • Proven proficiency in legal writing; Excellent oral and written communication skills
  • High level of proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint) and Adobe Acrobat
  • Acute attention to detail
  • Ability to coordinate multiple projects/tasks while still delivering high quality results
  • Demonstrated business acumen; strong organizational and project administration skills
  • Ability to function independently and as part of a team
  • Ability to successfully interact with key internal stakeholders and clients

 

Working Environment

  • Primarily office
  • Routinely uses standard office equipment such as computers, phones, photocopiers, and filing cabinets

 

Physical Demands

  • Ability to work in an upright and/or stationary position for up to eight (8) hours per day
  • Repetitive hand movement of both hands with the ability to make fast, simple, repeated movements of the fingers, hands, and wrists to operate office equipment
  • Occasional mobility needed
  • Occasional crouching, stooping, with frequent bending and twisting of upper body and neck
  • Light to moderate lifting and carrying (or otherwise moving) objects, including office supplies and laptop computer, with a maximum lift of 20 pounds
  • Ability to access and use a variety of computer software
  • Ability to communicate information and ideas so others will understand, with the ability to listen to and understand information and ideas presented through spoken words and sentences
  • Frequently interacts with others to obtain or relate information to diverse groups
  • Works independently with little guidance or reliance on oral or written instructions and plans work schedules to meet goals; requires multiple periods of intense concentration
  • Performs a wide range of variable tasks as dictated by variable demands and changing conditions with little predictability as to the occurrence

Position Type and Expected Hours of Work

  • This is a full-time position
  • Some flexibility in hours is allowed, but the employee must be available during the "core" work hours as published in the BioAgilytix Employee Handbook
  • Occasional weekend, holiday, and evening work required
  • Occasional travel required
