Responsibilities
Perform general administrative duties of a complex and confidential nature in support of DMPI operations. Interpret new directives, policies and regulations and inform appropriate personnel of changes; serve as a backup TRaC representative for the DMPI.
 
Arrange travel details for assigned faculty including planning, scheduling and providing appropriate travel documents; coordinate receipts and process travel expenses.
 
Assist assigned staff with orders by processing non-travel pcard charges; submitting orders in Buy@Duke; and managing/ordering office supplies and Shred-It services for assigned area.
 
Schedule and coordinate arrangements for seminars and conferences, and establish appointments, meetings and speaking engagements; attend meetings to provide information and serve as a resource person; respond to inquiries concerning departmental or divisional activities and transmit instructions and/or information to and from staff members;  book conference rooms, plan catering and issue parking passes/instructions as needed.
 
Assist staff with shipping FedEx packages; serve as main contact for the FedEx account for the DMPI; investigate FedEx charges that are not charged to appropriate fund codes in the general ledger and transfer FedEx charges to appropriate fund codes using journal vouchers (JV).
 
Assist with new personnel onboarding (obtaining badges, updating mail slots and cubicle/office signs, updating space chart, etc) for personnel in the Carmichael and Center for Living locations.  Work with OIT on computer request needs, managing phones, and phone rosters.  
 
Coordinate the mail delivery rotation with other administrative staff in the Carmichael building.
 
Compose letters and statements independently requiring interpretation and application of departmental policies, procedures, rules and regulations; determine which correspondence to respond to and which to bring to a faculty member’s attention based on content of communication and broad knowledge of departmental programs and activities; update CV’s and biosketches for assigned faculty; maintain files of records, reports and correspondence for assigned faculty.

Education

Work requires a broad knowledge of clerical and accounting principles and practices normally acquired through two years of post-secondary education in secretarial science or a related business field.

Experience

Work generally requires four years of related secretarial/clerical experience to acquire skills necessary to administer complex office functions related to office management, communications, and budgetary/accounting activities.OR AN EQUIVALENT COMBINATION OF RELEVANT EDUCATION AND/OR EXPERIENCE
