Position Responsibilities

  • Opens jobs within the project and time management system (ie, Webvantage)
  • Creates project scopes of work and maintain schedules for each project
  • Serve as liaison between all departments to ensure timely completion of projects
  • Resolves any scheduling issues in order to anticipate and prevent bottlenecks throughout each phase of project
  • Develops and maintains daily/weekly project status reports
  • Facilitates kick off and internal status meetings
  • Regularly communicates with the project team to ensure all departments are apprised of job status and handoffs
  • Troubleshoots issues, resolves questions and oversees day-to-day activities of team’s projects
  • Monitor workloads of creative, editorial, and technology departments to anticipate scheduling issues
  • Documents change orders concisely, accurately, and in a timely fashion
  • Tracks and monitors progress of job status across the agency to ensure adherence to schedules
  • Routinely evaluates timeline and budget trends to inform future schedules and estimates
  • Create or support scopes of work/proposals with account teams
  • Monitor all financials associated with assigned projects and/or businesses

Talent & Knack

  • Bachelor’s degree, preferably in marketing, communications, or operations field
  • Minimum of 3 years of relevant ad agency experience (marketing, digital and/or communication agency a plus)
  • Experience in resource and timeline modeling to forecast project requirements 
  • Demonstrated experience with traffic coordination 
  • Proficient in Excel, Word and PowerPoint a must; project management software (eg, Webvantage) knowledge required
  • Strong problem solving, negotiating and decision making skills 
  • Highly organized, detail oriented and able to handle multiple priorities and projects at one time
  • Strong verbal (including facilitation and presentation) and written communications skills, and capable of communicating to clients (when requested) and other suppliers the status of various projects 
  • Ability to influence, motivate, and lead stake holders without authority to meet project deliverables and deadlines
  • Strong knowledge of digital projects and processes for development, including but not limited to websites, HTML e-mails, applications (both iOS and SAS), and interactive media
  • Strong knowledge of print production process
