Job Summary: Our client is seeking a qualified office manager/administrative assistant that will report directly to the Senior Managing Partner. The Office Manager will perform varied specialized transactions and accounting functions, heavy administrative and customer service duties, as well as inventory management and mail processing.

Job Responsibilities:

-Accountable for overseeing efficiency of Office operations

-Oversee agenda and travel itinerary for Senior Managing Partner

-Keep Senior Managing Partner informed and prepared for daily meetings and events, as well as preparing documents for him as needed

-Answer phones and manage phone duty calendar

-Keep track and monitor real estate licensee status for brokers

-Calculate commissions and process transactions

-Maintain and ensure compliance with regard to company policy for Listing Agreements and Commissions

-Responsible for sending out internal and external communications regarding emergency/disaster planning

-Plan and Coordinate events and meetings both in and outside of office, such as Partner Meetings, Annual Meetings, Client Appreciation Events and other Industry related events

-Prepare documents, correspondence, spreadsheets and expense reports

-Provide listing reports for new and expired properties to Regional office

-Assist with strategic planning, forecasting, budgeting and monitoring office expenses

-Manage Inventory for office, kitchen and shipping supplies

-Keep conference room, common areas and kitchen tidy and stocked

-Communicate with and manage service contracts with vendors and manage maintenance work orders

-Troubleshoot with IT for on-site needs

-Other duties may be assigned

Education and Experience:

- Bachelor's Degree and/or 3+ years related office management/industry experience

- Intermediate Analytical and Reporting experience

- Good knowledge and experience working in MS Suite, with concentration in Excel and Outlook
